1. What benefits will my practice experience with your electronic health records (EHR) software?

3. What is your EHR’s interfacing capabilities?

Team Chart Concept is the first EHR in the United States to successfully report cancer cases in real-time to a cancer registry. Ulrich Medical collaborated with Paducah Dermatology, the Kentucky Health Information Exchange, the Kentucky Regional Extension Center, the Kentucky Cancer Registry, as well as the Centers for Disease Control and Prevention to provide complete, timely and accurate data needed to combat cancer.

TCC can also interface to medical systems that are HL7 compliant, including:

  • Clinics
  • Imaging centers
  • Laboratories; and
  • Hospitals

TCC can directly import data from medical devices that offer information in a flat file format with a unique patient identification number. Ulrich Medical will make every effort to interface to any medical device or system that supports some sort of data interchange. Additional fees may apply.

4. Is your EHR HIPAA compliant?

TCC is HIPAA compliant. The Team Chart Concept supports all electronic file formats (ASCII Xl2) for submission and reception of healthcare information. TCC also supports all requirements related to the privacy of information within TCC and the encryption of that information when shared with authorized medical facilities outside of your organization. The HIPAA standard is ever-changing, and Ulrich Medical will continue to be HIPAA compliant as new regulations are announced.

5. How safe is the information in your EHR?

Team Chart Concept offers several different levels of security, protecting sensitive information:

  • A Windows username and password is required to log on to the network and run TCC.
  • A TCC username and password is required to access information in TCC.
  • Departments are assigned to each user within TCC control who can create and/or access information.

These measures ensure that only authorized users view information within TCC.

6. How do I get historical data into the system?

Our team of experts will help scan your old charts, as well as paper documents from outside sources, in TCC for easy access. By storing all information in TCC, all patient information is immediately accessible and available for review by any authorized personnel.

7. What is the average time between purchasing the EHR and going live?

Typically, smaller practices are fully operational in two to three months. Practices of 10 or more providers may require additional time.

Several factors influence the time frame:

  • Installation of hardware
  • Delivery of setup information
  • Approval from clearinghouse
  • Adherence to training schedule
  • Completion of provider templates
8. Can we use our existing hardware or does Ulrich Medical require us to use a specific hardware vendor?

The success of Team Chart Concept depends on the quality of your hardware and networking ability. If your computers meet Ulrich Medical’s minimum specification, they may be useable. This, however, is best handled on a case-by-case basis.

You may purchase hardware from the vendor of your choice. Ulrich Medical strongly prefers to be involved in the purchase and support of the hardware. Typically, customers who allow Ulrich Medical to assist in the purchase of their hardware enjoy a smoother transition and better support.

9. Who will train my office on the new technology?

Our seasoned project manager(s) and trainer(s) will develop a plan to fit your office’s needs. Training can be accomplished online, onsite or with a combination. Each person requires a minimum of 10-15 hours of training. Financial staff members usually require up to 20 hours of training.

Your entire staff will learn how to use Team Chart Concept, as well as different approaches to each job, enhancing workflow.

10. What are your billing fees?

The only up-front cost is your hardware. You will pay Ulrich Medical Billing on a monthly basis as a percentage of net collections, not the billed. Ulrich Medical Billing pricing includes:

  • EHR software
  • Physician and staff training
  • Implementation
  • Technical software support
  • Software upgrades
  • Clearinghouse fees
11. Do clients have to sign a contact?

Yes, Ulrich Medical Billing customers sign a Billing Services Agreement. All contracts vary from case to case.

12. How can my practice be sure that Ulrich Medical Billing submits claims in a timely manner?

Ulrich Medical Billing submits claims daily, ensuring claims are filed accurately and timely.

13. What types of insurances do you bill?

Ulrich Medical bills commercial insurance carriers, auto insurance, Medicare and Medicaid.

14. Is a special software required for you to do our billing?

Ulrich Medical Billing pricing includes a highly versatile, ARRA certified EHR system, Team Chart Concept (TCC).

Engaging everyone in your office, TCC will empower you, giving you the ability to instantly access and record pertinent information at the point of care. Customers who use our EHR-based billing services have seen an increase in revenue reimbursement, improved workflow efficiencies and enhanced patient care.

We strongly encourage customers to use Team Chart Concept; however, it is not necessary.

15. How are claims submitted?

We process and submit claims electronically; for those carriers who don’t accept electronic submissions, we send paper claims via U.S. Postal Service. And, daily we follow up on claims, ensuring acceptance. We also resubmit all claims that need appeals.

16. Who receives the payments?

Your office will receive the payments directly.
